This notice explains how SIIMT University College (the “College”) handles the personal information you provide when registering for the Cybersecure Ghana International Conference 2026 (“CGIC 2026”). The College, through its Office of External Affairs, is the data controller for this information under the Data Protection Act, 2012 (Act 843).

1. What we collect

  • Organisation name and sector, and the invitation reference if you provide it.
  • For the lead delegate: title, full name, designation, work email address and mobile number.
  • For each nominated colleague: full name, designation, work email address and mobile number.
  • Any special requirements you enter (for example dietary, accessibility or protocol needs).
  • Technical information created when you submit the form, such as the date and time of submission.

2. Why we use it

  • To process your registration and confirm seats by email.
  • To communicate with you and your nominated colleagues about the conference: venue details, arrival and parking information, programme updates and reminders.
  • To prepare name badges, seating and the delegate list.
  • To meet security and protocol requirements at the venue, including where government dignitaries are present.
  • To invite feedback after the conference.

We rely on your consent, which you give by ticking the confirmation box on the registration form, and on our legitimate interest in organising the conference safely. We do not use registration details for unrelated marketing.

3. Nominated colleagues

If you register colleagues, you confirm that you are authorised to share their details and that you have told them about this notice.

4. Who can see your information

  • The CGIC 2026 conference team within the Office of External Affairs.
  • The venue’s security and protocol staff, limited to the delegate list needed for access control.
  • The co-organising and patron institutions, limited to protocol lists where required for the event.
  • Service providers that host the College website and send email on our behalf.

We do not sell or rent your information.

5. How long we keep it

Registration records are deleted within six months after the conference, by 30 April 2027, unless a shorter period is required or a longer period is needed for institutional reporting, in which case only the minimum necessary is kept.

6. Security

Registrations are stored on the College’s website systems. Access to the coordinator dashboard is restricted to named members of the conference team using individual accounts.

7. Your rights

Under the Data Protection Act, 2012 (Act 843) you may ask to access, correct or delete the information we hold about you, or withdraw your consent. Withdrawing consent before the conference means we may not be able to hold your seat. To exercise these rights, contact the Conference Coordinator below. You may also lodge a complaint with the Data Protection Commission of Ghana.
